Enhanced Data File Protection with Mesh Racks at RIBA, London

Client Background:

The Royal Institute of British Architects (RIBA) in London housed important data files in archive boxes within their basement storage area. However, the basement lacked security measures, leaving the data vulnerable to unauthorized access. To comply with data protection regulations and safeguard their valuable information, RIBA sought a solution that would enhance security while maintaining accessibility to the stored archive boxes.

Problem Statement:

RIBA faced a significant security risk as their archive boxes were stored in an unsecured basement accessible to anyone passing through. This posed a threat to the confidentiality and integrity of their data files. Additionally, the existing storage method, stacking boxes on ill fitting shelves, led to damaged and crushed boxes, making retrieval and identification challenging.

Challenges Overcome

Security Concerns:

Ensuring the protection of important data files from unauthorized access and tampering.

Space Efficiency:

Maximizing storage space while maintaining accessibility to archive boxes.

Damage Prevention:

Preventing damage to archive boxes caused by stacking them too high.

Visibility and Identification:

Ensuring easy identification of stored boxes for efficient retrieval.

Solution:

OfficeSTOR proposed and installed large mesh-protected racks with lockable doors to address RIBA's security and storage efficiency needs.

Key Features of the Solution:

Mesh-Protected Racks:

The installation of large mesh-protected racks provided enhanced security for the archive boxes while allowing visibility into the storage area.

Lockable Doors:

Lockable doors added an extra layer of security, ensuring that only authorized personnel could access the archive boxes.

Space Efficiency:

By storing boxes two deep and two high, the storage space was maximized, optimizing the use of available space in the basement.

Damage Prevention:

Storing boxes at a maximum of two high prevented damage and crushing, ensuring the integrity of the archive boxes and their contents.

Visibility and Identification:

The mesh design allowed for easy visibility of the archive boxes, making it simple to identify and retrieve specific files without the need to search through stacked boxes.

Results:

Enhanced Security:

The installation of mesh-protected racks with lockable doors significantly enhanced the security of RIBA's archive boxes, safeguarding them from unauthorized access.

Improved Storage Efficiency:

By storing boxes two deep and two high, space efficiency was maximized, allowing for more organized and accessible storage.

Damage Prevention:

Storing boxes at a lower height prevented damage and crushing, ensuring the longevity and integrity of the archive boxes and their contents.

Ease of Identification:

The mesh design enabled easy visibility of the stored boxes, simplifying the identification and retrieval process for RIBA staff.

Conclusion:

OfficeSTOR's installation of mesh-protected racks with lockable doors at RIBA's basement storage area successfully addressed the security and storage efficiency concerns surrounding the archive boxes. By implementing this solution, RIBA ensured compliance with data protection regulations while optimizing space usage and improving accessibility to their important data files. The enhanced visibility and protection provided by the mesh racks have significantly contributed to the overall security and organization of RIBA's archival storage space.

This posed a significant risk to warehouse personnel and operations, prompting the client to seek a proactive approach to safeguard against potential accidents.

Challenges Overcome

Safety Concerns:

Addressing the risk of items falling from height and causing harm to warehouse personnel or equipment.

Inadequate Decking System:

Replacing ill-fitting timber decks with a more secure and versatile solution to accommodate pallets of all sizes.

Anti-Collapse Measures:

Implementing anti-collapse mesh panels to prevent items from falling between racks and ensuring a safer working environment.

Solution:

OfficeSTOR developed a comprehensive safety proposal to address the client's concerns and enhance safety within the warehouse facility.

Key Features of the Solution:

Replacement with Mesh Decks:

OfficeSTOR replaced all existing timber decks and pallet support bars with mesh decks designed to provide a firm and even surface for pallets of various sizes. The mesh decks were custom-designed to match the weight loading capacities of the existing pallets.

Metal anti-collapse mesh panels were installed between the racks to prevent items from falling through or between the flue of the pallet racking. The mesh panels were custom-made to fit the exact rack lengths, eliminating the need for cutting and ensuring a faster installation process.

Rack Extensions for Height Safety:

Rack extensions were fitted to the pallet racking uprights to allow the anti-collapse mesh panels to be 1000mm higher than the top beam height, preventing any potential pallet falls at the top.

Wrapping of Top Pallets:

As an additional safety measure, the client initiated the wrapping of all top pallets to enclose them, further safeguarding against potential hazards.

Results:

Enhanced Safety Measures:

The implementation of mesh decks and anti-collapse mesh panels significantly enhanced safety within the warehouse, reducing the risk of items falling from height and causing harm to personnel or equipment.

Improved Accessibility and Visibility:
